When you tender a transaction with one or more items discounted, you will be prompted to apply a Reason Code before you can proceed.
The Select Reason Code for Discount window will appear after you click Tender.
Reason Codes with the type ‘Customer Discount' will appear here. Click the relevant button to make your selection. If you have a long list of Reason Codes, you can search using the field at the top.
If you need to create a new Reason Code, a blue button provides a link to the relevant setup page in the Cloud POS Back Office. Once created, you will need to refresh the Point of Sale to use your new code. Refreshing the Point of Sale will clear the current transaction — if you are working on a complex transaction, consider using the Suspend Transaction functionality so that you can quickly recall it after refreshing the Point of Sale. See the related article for further guidance on Reason Codes.
Creating a new discount Reason Code
If you create a new Reason Code, make sure you set the ‘Type’ as ‘Customer Discount’, otherwise it will not appear in this area of the Point of Sale.
Once you have selected a Reason Code, you will be taken to the Tender Transaction screen, where you can proceed as normal.
If you make an incorrect choice, you can return to the Point of Sale and click into the Sales & Returns menu, then click Edit Reason Code for Discount.
Frequently Asked Questions
Where can I see which Reason Codes have been used for discounts?
You can use Cloud Reports to see which Reason Codes have been applied to transactions. We would recommend the ‘Discount Report’ for this purpose.
Why do I see ‘Access Blocked’ when I try to create a new Reason Code?
This means your user does not have the required permission level to edit this area of the Cloud POS setup. You will need to ask a member of your team with Administrator access to make the changes or allow you access to do so.
