Payment Link Auto-Assignment automatically adds credit to a customer’s account when they pay a payment link, and automatically removes that credit if you later issue a refund.
Payment Link Auto-assignment is available for retailers who use CitrusPay as their payment link provider.
What Payment Link Auto-Assignment Does
When you send a payment link to a customer and they pay it, the system can automatically assign the payment amount to the customer’s account as store credit.
You will then be able to see this in:
Customers → Account Transactions → Account Receivables / Account Activity
If you refund a payment link, the system automatically removes the same amount of credit from the customer’s account.
This means:
- No need to manually add or remove credit
- Customer accounts stay accurate
- You can easily track all activity through Back Office
Enabling Payment Link Auto-Assignment
You will need to enable this feature for each store that wants to use it.
To turn on the feature
- Open Back Office
- Navigate to the Stores Page
- Select your store
- Scroll to the Other section
- Enable Payment Link Auto-Assignment

Check your Payment Link tender type
You must have a tender type with the Type: Payment Link.
How to Use Auto-Assigned Payment Links
Sending a payment link
Send a payment link to your customer as you normally would.
If auto-assignment is enabled for your store, no extra steps are needed.
As soon as the payment link is paid:
- The payment link will show as Paid & Assigned
- The amount will appear as a credit on the customer’s account
- You can view this in the customer’s account activity
(The customer is not required to have an account type)

Where to View Your Payment Links
You can view all Payment Links and check their progress by navigating to:
Payments and Transactions → CitrusPay Payment Links → Auto Assignment Queue
This area of the Back Office gives you a complete overview of every automatically assigned link.
What You Will See on These Pages
The Auto Assignment Queue provides helpful information about each Payment Link, including:
• Which Payment Links have been paid
• Whether credit has been assigned to the customer account
• Whether a refund has been processed
• Any Payment Links that may require your attention


Tendering Credit from a Payment Link
When you recall an order and select the customer, you will see their Available Funds displayed in the customer panel. This shows the amount of credit the customer currently has on their account.

The customer can use this credit as part or full payment for their transaction. To do this, simply tender the sale using the Account tender type, the same way you would for any other store credit.
Tender reporting
If you use tender types for reporting or reconciliation, you may wish to create a separate tender type for payment link credit. We recommend creating a tender called Payment Links with the tender type ‘Account’. This allows you to clearly distinguish credit that originated from payment links when viewing your reports.
Refunding Auto-Assigned Payment Links
You can refund an auto-assigned payment link through the Back Office using the usual refund process.
What happens when you refund a payment link
• The refunded amount is automatically removed from the customer account
• Partial refunds are supported
• If the customer has already used some or all of the credit, their account may show a negative balance
• The refund will appear in the customer account activity so you can clearly track what has been refunded
