Wizards let you make bulk changes to your items, suppliers, and stores without editing each record one by one. Once you've selected the items you want to change in a Wizard, you can export them to a spreadsheet, make your changes in Microsoft Excel, and import the file back in to apply them.

In the Back Office menu, Wizards and Import Tools both sit under Wizards & Imports, but they do different jobs. Wizards make bulk changes to items, suppliers, or stores you already have. Import Tools bring in new or replacement records, such as a fresh customer list or a new set of supplier barcodes. This article covers exporting and importing within a Wizard.
Creating your Wizard and selecting items
1) In the Back Office menu, navigate to Wizards & Imports and click Wizards.
2) Choose the category of Wizard you need, then click Create Wizard on the Wizard you want to use. For example, click Item Wizards and then Create Wizard on the Price Wizard to bulk update prices.
3) A pop-up will ask you to Select how to create the wizard. Click Search and Select Items:
4) Use the search filters to find the items you want, tick each one you want to include, then click Create Wizard in the top-right corner:
This takes you to the Wizard's editing screen, where your selected items are listed in a grid.
Updating Matrix Items and Matrix Parents
If any of your selected items belong to a Matrix (for example, different sizes of the same product), tick Update Matrix Items and Matrix Parent? at the top of the Wizard editing screen to apply your changes to every item in the Matrix, not just the one you selected.
Exporting your items to Excel
1) On the Wizard editing screen, click Generate File at the bottom of the page:
2) Click the link to download the file. It will download in .xlsx format, ready to open in Excel or another spreadsheet program.
Editing and importing your changes
1) Open the downloaded file in your spreadsheet software and make your changes. For example, you might update the values in the Price or Sale Price columns:
2) Save the file, then go back to the Wizard editing screen in the Back Office and click Import at the bottom of the page:
3) Browse for the file you saved and select it. Once it's uploaded, your changes will be reflected in the grid:
4) Check your changes are correct, then click Commit Wizard to apply them.
Wizards are processed in order
Wizards are processed sequentially. If you commit more than one, each will be queued and processed one after another rather than all at once.
Frequently Asked Questions
Does the Generate File and Import option work for every Wizard?
The export and import buttons appear on the editing screen for Wizards where you're working with a list of items, such as the 'Price Wizard' or 'Item Detail Wizard'. It's designed to speed up changes across a large number of items at once.
Do I have to use Excel, or can I still edit items manually in the Wizard?
Exporting to Excel is optional. You can still use 'Set Formula' or edit fields for each item directly in the grid if you prefer — the export and import option is just a faster way to make changes across many items at once.
