How do I use an SFO1 CitrusPay Terminal?

An SFO1 terminal is a customer-facing payment terminal that is available to you as a CitrusPay user. It has a number of benefits, including:

    • Customer-facing display built in — The SFO1 is a customer-facing device and card terminal in one, so customers see their purchase on screen before making their payment. The display will update automatically as you build a transaction in Cloud POS.
    • Brand and/or promotion display at checkout — You can customise the left hand side of the transaction screen with an image (e.g. your store logo) or a QR code. You can also customise the ‘idle’ screen that shows between transactions — another great opportunity for displaying current promotions.

An SFO1 terminal comes at an additional fixed monthly cost. If you're interested in an SFO1 terminal, speak to the Citrus-Lime Success Team or Support Team.

This article covers the following topics:

    Unboxing your terminal

    You will receive:

    • the SFO1 terminal
    • a power cable
    • a plug compatible with your power sockets
    • a countertop stand — this will usually be in a separate box

    To set up the terminal:

    1) First, connect the stand. You need to start by pulling apart the top and bottom of the stand. There are two small indentations, one on each side, to help with this — you may find it useful to insert a small object into the indentations to help you to lever the two halves apart.

    2) Connect the cable to the plug at one end and to the terminal at the other (the power ports are on the back — it does not matter which one you use.)

    3) Use the allen key included to attach the screws to the back of your SFO1 terminal.

    4) Once the stand is attached, you can click the two halves of the stand back together.

    5) Connect the plug to a power source. The terminal should automatically switch on, and you will see a ‘Starting up…’ message initially.

You will then be taken to a CitrusPay home screen.

Check your setup email from Citrus-Lime

You will have received an email from Citrus-Lime with the subject, 'Your new CitrusPay Terminal is on its way.'

If this email says that you are ready to start using your terminal straight away, it's ready to use with Cloud POS.

If this email says that you need to contact the Support Team for the final setup, please contact us via phone or Live Chat. We will help you with the final setup. This should take 5-10 minutes.

Switching from a WisePOS E terminal?

If you're switching from using a WisePOS E card terminal, you may also want to export your payout data from the Back Office. Once you switch to your new Saturn 1000, Saturn 1000-E or SFO1, this will replace the reporting in the Back Office, and you will no longer see the payout reports for your WisePOS E transactions. If you have any payout data that you haven't exported yet, we'd recommend doing that before you call the Support Team.

You can find your payout data in the Back Office from 'Customers, Receipts & Orders' > 'CitrusPay Payouts Report'.

    Switching from a Saturn terminal?

If you're switching from using a Saturn card terminal, we will leave that with you for a month after your SFO1 terminal is delivered, just in case you encounter any problems. After that, Citrus-Lime will arrange the return of the Saturn terminal with you, via a pre-paid courier collection.

    Customising your terminal screens

When you are processing a transaction for your customer, they will see their items, quantities and prices on the right hand side of the terminal screen.

You have the option to customise the area on the left hand side of the screen with either an image or a QR code. You can also customise the ‘idle’ image that will display when no transaction is in progress.

    To configure these displays:

    1) In the Cloud POS Back Office, navigate to Setup > Registers.

    2) Select the register for your SFO1 terminal.

    3) Scroll to the ‘Integrated Credit Card Settings’ area.

First, you can set an Idle Image. This will display when you're using your register/till but no transaction is currently in progress.

    1) Click the plus icon in the ‘Idle Image’ area.

    2) You have two ways to upload your image. You can click the green box or drag and drop a file to upload it from your PC/Mac.

    3) After you have chosen your image file, click to Save your changes at the bottom of the page.

If you want to replace or delete the image in future, click on the Edit icon:

From the same register settings page, you can also choose an image or a QR code to display on the left hand side of the screen while a transaction is building on the right hand side. You have three options here:

If you would like to display a QR Code, choose this option from the drop-down. You will then see two further fields to complete:

Display QR Code — copy and paste the url that you would like your QR code to link to.

Display Header — enter some header text to display above the QR Code, if you wish.

You will need to Save your changes at the bottom of the page.

If you would like to display an Image, choose this option from the drop-down. You will then see an image upload area, similar to the one for the Idle Image:

You will need to Save your changes at the bottom of the page.

    Image recommendations

For an idle image, the maximum size is 400KB. We would recommend landscape images in the ratio 5L/3W or 3L/2W.

For a transaction image, the maximum size is 200KB. We would recommend images in the ratio 5L/4W.

You can upload a .jpg or a .png image file.

Tips for using your SFO1 terminal

When your register/till is in use, the terminal will display the ‘Idle image’ that you can customise from the Back Office. If you need to return to the main home screen in order to access your terminal ‘Settings’ or ‘Transactions’ menus, you can do this from the Point of Sale menu.

In the Point of Sale menu, click into the Till/Register section, and then choose Show Terminal Standby Screen:

Please note that your terminal will then remain in ‘standby’ mode until you begin a new transaction, or reload the Point of Sale. We would recommend exiting standy mode and returning to your customised idle screen as soon as possible, so that your terminal has a customer-friendly display.

    Network connections

Your terminal has a SIM card. This means it will automatically connect to a local 3G / 4G / 5G network.

You can also connect your terminal to WiFi. To do this, press the 'Settings' option on your terminal screen, then press 'Network'. You will need a passcode. This passcode was sent to you by Citrus-Lime in the email, 'Your new CitrusPay Terminal is on its way.'

If you need help navigating to your settings menu, refer to the ‘Navigating to the home screen’ section above.

SFO1 terminals do not have ethernet ports. However, an ethernet adaptor accessory is available at an additional cost.

    Refunds

When processing a refund, if the original transaction was paid for through a CitrusPay terminal, the customer will NOT need to insert or tap their card. As long as you've recalled the original transaction in Cloud POS to process the return, the funds will be sent back to the customer automatically, once the return transaction is complete.

You will see the refund on the X/Z report for the register/till that originally processed the payment. For example, if the payment was processed through the CitrusPay terminal on Till 01, and you issue the refund from Till 02, you would see the refund on the Till 01 X/Z report.

If the original transaction was paid for through a different card terminal type, e.g. a Dojo terminal, you may need to process a standalone refund (see below).

    Standalone payments and refunds

As a rule, all payments and refunds on your terminal should be issued from Cloud POS. However, you may occasionally encounter a scenario where you need to process a payment or refund directly on the terminal itself. These are called 'standalone' payments/refunds. For example, when you first start using your SFO1 terminal, you may need to refund a transaction that was paid on a previous card terminal.

To process a standalone payment or refund:

    1) On the terminal home screen, press the 'Transactions' button. (If you need help returning to this home screen, please refer to the ‘Navigating to the home screen’ section above.)

    2) Press 'New transaction'.

    3) Enter the transactions passcode. This is in your email 'Your new CitrusPay Terminal is on its way.'

    4) Choose ‘Payment’ or ‘Refund’.

    5) Enter the amount and press 'Continue'.

The customer can now present their card.

In Cloud POS, we would recommend using the Tender Type 'Manual Credit Card'.

    Receipts

Please note that receipts cannot print directly from your terminal. They will print from your Cloud POS receipt printer.

    Previous transactions

You can find your transaction history and daily totals from the 'Transactions' option on the home screen. You will need the passcode from Citrus-Lime. This is in your email ‘Your new CitrusPay Terminal is on its way.’

    Changing other settings

If you need to change other terminal settings, e.g. display brightness or language, you will need the ‘Settings’ passcode from Citrus-Lime. This is in your email ‘Your new CitrusPay Terminal is on its way.’
