Cloud POS Wizards let you make bulk changes to your items without editing them one by one. The Price Wizard is used to update prices, sale prices, and other pricing fields across a group of items at once — for example, putting a range of products on sale, adjusting your Price A to E bands, or applying a new cost-based markup.

Finding the Price Wizard

1) In the Back Office menu, navigate to Wizards & Imports and click Wizards:

2) On the Wizards page, find the Item Wizards section and locate the Price Wizard card:

From here you have two options: click View All to open a wizard you've already started, or click Create Wizard to start a new one. Both are covered below.

Viewing an Existing Wizard

1) Click View All on the Price Wizard card to see a list of all Price Wizards, including their status, the number of items on each, and completion details:

2) Click the Wizard # link for the wizard you want to open. This takes you into the wizard's grid, where you can review or continue editing prices:

Creating a New Wizard

1) Click Create Wizard on the Price Wizard card.

2) Choose how you want to select the items for your wizard:

There are five options available:

• Search and Select Items — filter and tick items from your full item list
• Quick Scan Items — scan or type in item codes one at a time
• Import List of Codes — upload a file containing a list of item codes
• Items on Purchase Order or Transfer — pull items from an existing Purchase Order or Transfer
• Import Items and Create Wizard — upload a file containing both the item codes and their new prices

Each option is explained below.

Search and Select Items

1) Use the filters at the top of the grid — Item Type, Item Lookup Code, Description, Free Stock, Price, MSRP, Cost, Global Stock On-Hand, Supplier, Brand, Season, Gender, Department and Category — to find the items you want to update:

2) Tick the checkbox next to each item you want to include, or click Select All to select every item currently shown. Turn on Show inactive items if you need to include inactive products in your search.

3) Once you've selected your items, click Create Wizard at the top of the page.

Quick Scan Items

1) Use the Enter Item Lookup Code, Barcode or Matrix Parent Code field to scan or type in the code for each item you want to add. Every item you add appears in the Items Added list below:

2) Once you've added everything you need, click Create Wizard.

This option is handy if you're working from a physical list, or picking items off the shelf as you go.

Import List of Codes

1) Prepare an Excel or CSV file containing a single column of codes. A code can be an item's Item Lookup Code, Supplier Part Code, or Alias (barcode), but it must already exist in your database.

2) Drag your file into the upload area, or click it to browse for the file:

3) Once your items appear in the Items Added list, click Create Wizard.

Items on a Purchase Order or Transfer

1) Use the filters — Type, Order Number, Supplier, Items, Sub Total Ex. Tax, Order Placed?, Created, Deliver To and Status — to find the Purchase Order or Transfer you want to pull items from:

2) Tick the checkbox next to the Purchase Order(s) or Transfer(s) you want to use, then click Create Wizard.

Import Items and Create Wizard

This option is different from Import List of Codes — instead of just selecting items, you upload a file containing both the item codes and the new pricing values you want to apply.

1) Click Generate Empty Template to download an Excel file pre-populated with the required column headers.

2) Fill in the columns you want to update, leaving any column blank where you don't want to change that item's value.

3) Drag your completed file into the upload area, or click it to browse for the file:

4) Once your file has uploaded, click Create Wizard.

Editing Prices in the Wizard Grid

However you've created it, every wizard opens into the same grid, showing a column for each pricing field you can update: Item Lookup Code, Description, Supplier Part Code, Average Cost Price, Price, Sale Price, Sale Start, Sale End, On Sale, MSRP, Price A to Price E, eBay Price, Amazon Price and Website Price. Scroll right to see the full set of columns.

1) Tick Update Matrix Items and Matrix Parent? if you want your changes to also apply to the matrix parent and every matrix item linked to the items in your wizard.

2) To change a value for every item in the wizard at once, click Set Formula above the column you want to update. This opens a pop-up for that field:

3) Choose a Source Field — the field your calculation will be based on (for example, basing a new Sale Price on the item's current Price) — then choose a formula type:

• Copy source field value — set the field to exactly match the source field
• Fixed Value — set the field to a specific figure
• Increase by (%) — increase the source field value by a percentage
• Decrease by (%) — decrease the source field value by a percentage
• Set profit margin by (%) — calculate the field based on a target profit margin

4) Tick Apply Price Rounding? to expand the rounding options:

5) Enter a value in Choose value to end prices in — for example, 0.99 — and select a Rounding Option:

• Round to the Nearest — rounds to the nearest whole pound before applying your chosen ending value
• Round Up — always rounds up to the next whole pound before applying your chosen ending value
• Round Down — always rounds down to the previous whole pound before applying your chosen ending value

6) If you're setting a formula on the Sale Price field, you'll also see a Sale Period section where you can set the Sale Start and Sale End dates at the same time as the price:

7) Check the Summary panel at the bottom of the pop-up to confirm the change you're about to apply, then click Apply.

8) You can also edit any item's values individually by typing directly into that item's row.

9) Use Grid Layout to change how the grid is displayed, and Hide Bulk Editing if you want to hide the Set Formula row while you work on individual items.

Committing Your Changes

1) Once you're happy with your changes, use the action bar at the bottom of the screen to finish your wizard:

This bar gives you a few options:

• Update using SIM — pull the latest supplier pricing data into the wizard from SIM
• Import — import a file to update the items already in your wizard
• Generate File — export the current wizard items to Excel
• Reset Grid Values — undo any unsaved changes you've made in the grid
• Commit Wizard — process your changes

2) When you're ready, click Commit Wizard. Cloud POS confirms that your wizard has been scheduled:

You can click the link in this message at any time to check on your wizard's progress, or find it again later from the Price Wizards list (see Viewing an Existing Wizard above).
